Privacy policy
Last updated: 15 October 2026. This explains what personal information PRJ Logistics Ltd collects, why, and your rights under UK data protection law.
Who we are
PRJ Logistics Ltd is a courier company based in Reading and Wokingham, Berkshire. We are the controller of your personal information.
Registered in England and Wales, company number [COMPANY NUMBER]. Registered office: [REGISTERED ADDRESS].
Contact: contact@prjlogistics.co.uk or 07595 172284.
What we collect
- Contact details: name, phone number and email address.
- Job details: collection and delivery addresses, collection date and time, description of the load, and the reference number we give you.
- Delivery records: status updates, photos or documents taken at collection or delivery as proof of delivery, and the name of the person who received the delivery, if given.
- Messages you send us by email, WhatsApp, phone or the website forms.
- Basic technical data (such as your IP address) that is sent to our website and to the services listed below when you use the website.
Why we use it, and our legal basis
- To give you a quote and carry out your delivery (contract, or steps you ask us to take before a contract).
- To send you updates and proof of delivery by email and on our tracking page (contract).
- To keep business and tax records, such as invoices (legal obligation).
- To handle claims or disputes, and to keep our service safe and running (our legitimate interests).
We do not sell your information and we do not use it for automated decisions or profiling.
Who we share it with
We only share what is needed, with providers who help us run the service:
- Google (Gmail, Google Sheets, Google Drive) to store job records, send emails and hold delivery photos.
- WhatsApp (Meta), if you contact us or we contact you there.
- Our drivers and any partner courier we ask to complete a delivery for you.
- Our accountant and professional advisers, and public authorities if the law requires it.
When you use the route checker on this website, the addresses you type are sent to OpenStreetMap-based services (Photon, OSRM and OpenStreetMap map tiles) to find the address, calculate the route and show the map. The website also loads fonts and code libraries from Google Fonts and cdnjs. These services receive your IP address. They are not told your name or contact details.
Some of these providers are based outside the UK. Where that happens, we rely on the safeguards the law requires, such as the UK International Data Transfer arrangements.
Tracking page and delivery photos
Our tracking page shows only the status of a delivery, the time of the last update, any short note, and a link to the proof of delivery photo. It does not show names or addresses. Anyone who has your reference number can see this information, so please keep it private. Our drivers aim to take photos of the parcel at the delivery place and not of people.
How long we keep it
- Job records and proof of delivery photos: 12 months after delivery, longer if there is an open claim or dispute.
- Invoices and financial records: 6 years, as required for tax purposes.
- Enquiries that do not become a job: up to 12 months.
Cookies
This website does not use cookies for advertising or analytics. If we add them in future, we will ask for your consent first and update this page.
To help you track a delivery or book the same route again, the website saves your recent reference numbers and routes on your own device (local storage). We do not receive this information. You can remove it with the "Clear list" button in the Track section or by clearing your browser data.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or move it to another provider. To do any of this, contact us using the details above. We will reply within one month.
If you are unhappy with how we handle your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
